Club Officials
Roles and Responsibilities
President
The President is a Full Patched Member of the club and is the club figurehead.
They are the main liaison with the San Francisco motherclub, SFDOBWMC and are to maintain a frequent exchange of information and contact with them.
They are also the main spokeswoman for the club and are to be available to speak for the club as and when required.
They are to attend all Board meetings.
They are the Chair of the club Board and as such are responsible for ensuring meetings are run in a efficient and businesslike manner.
They are to produce a monthly update to the Board and an annual report for presentation to the members at the AGM.
Vice-President
The Vice-President is a Full Patched Member of the club and second in command to the President.
They are to replace the President as and when they are unable to be present, they are to assume all the roles and responsibilities of President as and when required.
Secretary
The Secretary is a Full Patched Member of the club.
They are responsible for all administration duties in regards to club business.
They are responsible for all general club correspondence and to record incoming and outgoing communications.
They are to arrange all Board and club members meetings, closed member meetings, AGM/EGM, including dates, times and venues.
They are to attend all Board meetings.
The are to create agendas and take full minutes of all club meetings, both Board and member.
They are to record member attendance at all meetings and to receive and record all apologies for absenses.
They are responsible for the drafting and amending of all policies and procedures and submitting these for Board/member approval.
They are responsible for all administration in relation to the members AGM, ensuring members are informed and all attendant documents are available.
The are responsible for administering and ensuring the smooth operation of the election process at the AGM including a call for nominations.
They are to produce an annual Secretary’s report for presentation to the club members at the AGM.
They are to manage the club merchandise outlet.
Treasurer
The Treasurer is a Full Patched Member of the club.
They are responsible for all financial records for the club.
They are responsible for the management of all club accounts and monies.
They are to maintain an up to date record of income and expenditure.
They are to attend all Board Meetings
They are to produce a monthly financial statement for the monthly Board meeting including a balance sheet.
They are to produce annual financial accounts for presentation to the club members at the AGM.
Membership Officer
The Membership Officer is a Full Patched Member of the club.
They are responsible for supporting and dealing directly with members.
They are responsible for recording and monitoring member involvement with the club to ensure they are meeting their club commitments.
They are to raise any issues about individual members with the Board for discussion on the action to be taken.
They are to raise any issues regarding members raised and agreed by the board with the members in question.
They are to attend all Board meetings.
They are to prepare a Membership report for the monthly Board meeting.
They are to prepare an annual Membership report for presentation to the members at the AGM.
